Purchasing of Technology
As we continue strengthening our technology environment and improving cybersecurity
across campus, I want to provide an important reminder regarding the purchase of any
computer-related or technology-based equipment.
All technology purchases—including computer hardware, equipment with embedded computers,
anything that runs firmware, any device containing a microprocessor, and any technology
purchased using grant funds—must go through IT Services.
This includes, but is not limited to:

Computers and laptops

Tablets and mobile devices
-
Printers, scanners, and multifunction devices
-
AV equipment with firmware or onboard processing
-
Smart devices or “IoT” equipment
-
Specialized instructional or lab equipment with microprocessors
-
Equipment purchased with grants that incorporates any of the above

Servers, networking gear, or anything that connects to WNC systems

Why This Matters
Routing all technical equipment through IT allows us to:

Ensure campus-wide compatibility and security
-
Verify licensing, firmware, and update requirements
-
Prevent unsupported or insecure devices from being introduced
-
Maintain accurate inventory of all technology assets, including grant-funded equipment
-
Protect campus systems from vulnerabilities and compliance risks
-
Ensure we can support and service the equipment after purchase
Workday Requisition Requirement
All technology purchases must be submitted through a Workday requisition.
Routing purchases through Workday ensures that:

The correct budget approval pathways are followed

Legal and procurement requirements are met
-
Information security reviews are completed when necessary
-
FERPA and other compliance standards are upheld
-
Grant-funded purchases follow the required audit and documentation processes
This process protects both the college and the individual departments by ensuring
that all required procedures are met before equipment reaches campus.

Do not use a PCard to purchase technology equipment.
Workday requisitions are required for all tech-related purchases, whether funded through general budgets or grants.
