Statement: Western Nevada College operates a video conferencing system between its facilities located in Carson City, Fallon, Minden and other locations in the colleges service area. Use of the WNC video conferencing system is limited to those NSHE institutions or NSHE affiliated entities directly supporting the instructional, clinical, administrative, and research objectives of the NSHE and the K-12 community.

Section 1: Scheduling Academic


  1. Division directors are responsible for developing the IAV semester class schedule. Individual faculty may not schedule classes. The Administrative Assistant in Library & Media Services coordinates the scheduling of all IAV classes with the division directors and System Computing Services staff.

Section 2: Scheduling Non-Academic


  1. Scheduling of WNC IAV facilities is the responsibility of the Administrative Assistant in Library & Media Services.
  2. Non-Academic use of WNC IAV facilities is determined by this policy and further defined by SCS Video Scheduling and Use Policy #Pol_002. Priorities for use of in order of precedence are:
    1. NSHE sponsored academic classes.
    2. Board of Regents/NSHE System Administration Office conferences.
    3. Other NSHE and K-12 Administrative conferences.
    4. Other State/Federal/Local government administrative video conference sessions scheduled on an ad hoc, as available basis.
  3. All sites or rooms reserved for SCS scheduled administrative video sessions and other non-class uses are subject to preemption based on the prioritization outlined above.

Section 3: Costs


  1. There is no charge for use of the video conferencing facilities to authorized users described above. Although these users will not be charged for use of the videoconferencing facility, if the services of an IAV facilitator are required the cost of the facilitator will be borne by the user.

Section 4: Training


  1. Media Services staff will offer training (1-2 hours) at the beginning of each semester. Faculty new to teaching via IAV, or those who have not taught an IAV class within three years are required to attend training. If a faculty or staff member is unable to attend a regularly scheduled training session, Media Services staff offers one-on-one training at any time. An IAV teaching guide and classroom specific manuals area available under Distance Education/Interactive Video on the Library & Media Services web site. Section 5: Materials Distribution


  1. Given the distances between teaching locations and the uncertainty of campus mail delivery schedules, it is highly recommended faculty provide students with materials such as handouts one week prior to class. Materials can be sent via US Mail, fax, shared through Google Docs, email or provided through the colleges learning management system software. Funds to cover the cost of mailing materials can be provided by academic divisions. Its important to include a stamped, addressed mailer if tests or other materials are to be returned to the instructor. Faxing multiple page documents at the beginning or immediately after a class is not recommended. Materials may also be emailed directly to students or to facilitators well in advance of class. It is the responsibility of the instructor to assure class materials and exams are at remote sites in a timely manner.

Section 6: Facilitators


  1. Facilitators are provided for every teaching origination site and at each receive site. Facilitator contact information is provided to faculty as soon as possible at the beginning of each semester. Work schedules for facilitators are frequently not determined until the end of the first week of classes.
  2. Facilitators are not teaching assistants. Their duties are operation of IAV equipment, assisting in materials distribution and proctoring exams. Facilitators cannot be enrolled in a class they are facilitating. Facilitators names and contact information will be distributed to all faculty teaching IAV classes at the beginning of each semester.

Section 7: Teaching Centers


  1. The college currently maintains IAV sites at the Carson City campus, Douglas campus, Fallon campus, Fernley and Yerington. Mailing addresses for each teaching location are listed on the Library & Media Services website under Distance Education/Interactive Video. Materials mailed to centers should be clearly labeled with the class, e.g., English 101.

Section 8: Testing Security


  1. Tests should be mailed or sent well in advance of class. Tests sent through the U.S. mail should include a stamped, addressed mailer to return exams to the instructor. Facilitators are available at remote locations to proctor exams. Make-up exams are given at the discretion of the instructor. Students may be charged a fee for make-up exams.
